Timeference delegate platform & Android app

This policy explains how Timeference ("we", "us") handles personal data when you take part in an event powered by the Timeference platform, including the Timeference delegates mobile app (Android). By using the platform or the app, you agree to the practices described here.

Last updated: September 4, 2026

1. Information We Collect

We collect the following information about delegates:

  • Profile data: your name, email address, phone number, country, city, and company affiliation.
  • Event participation data: the events you are registered for, your table and badge assignments, generated meeting and booking records, and any feedback you submit.
  • Account credentials: your email address and password (stored only as a secure hash). If you use biometric unlock in the app, your fingerprint or face data never leaves your device and is handled exclusively by your device's operating system.
  • Technical data: authentication tokens and basic server logs (such as IP address and request timestamps) needed to operate and secure the service.

2. Accounts Provisioned by Organizers

Delegate accounts are usually created by the event organizer. If you were registered by an organizer — including through a bulk import of a delegate list (for example a CSV file with your name, email, company, and participation details) — an account is created for you with a temporary default password. You should change this password the first time you sign in.

The organizer supplies your data to us for the sole purpose of running the event. If you were never told that you were registered and want your data removed, contact us using the email at the bottom of this policy.

3. How We Use Information

We use your personal data to:

  • Create and authenticate your delegate account.
  • Generate your personal meeting schedule and match you with other delegates and companies at the event.
  • Produce your event badge and manage table assignments.
  • Let organizers run and monitor the event (attendance, meeting round progress, and feedback).
  • Provide support and communicate event-related information to you.

We do not use your data for advertising, and we do not sell or rent it to anyone.

4. Sharing and Disclosure

Your data is shared only with the organizers and administrators of the event(s) you participate in, so they can run the event. Other delegates can see a limited public profile (such as your name and company) as part of the matching experience.

We use hosting and infrastructure providers strictly to operate the service. We do not disclose your personal data to any other third parties except where required by law.

5. Android App Permissions

The Timeference delegates Android app requests the following permissions:

  • Internet — to communicate with the Timeference servers for sign-in, schedules, and event data.
  • Biometric (USE_BIOMETRIC) — optional, to lock the app with your device fingerprint or face recognition. Biometric data is never collected by us.
  • Alarms (SCHEDULE_EXACT_ALARM / USE_EXACT_ALARM) — to keep the home-screen countdown widget accurate during the event. No personal data is accessed.

6. Data Retention

We keep your personal data only as long as needed for the events you take part in and to comply with legal obligations. After an event has ended, organizer and participation records are retained at the organizer's discretion for reporting and possible future events, and are deleted upon request.

7. Your Rights

You may request access to the personal data we hold about you, ask for corrections, or ask for your data to be deleted. You can exercise these rights by contacting the event organizer or by emailing us at info@buidler.solutions.

You may also stop using the app and request account closure at any time.

8. Security

We protect your data with encryption in transit (HTTPS), hashed passwords, role-based access control, and restricted administrative access. No system is perfectly secure, but we take reasonable measures appropriate to the sensitivity of the data we hold.

9. Changes to This Policy

We may update this policy from time to time. The date at the top of this page always reflects the current version. Material changes will be communicated through the app or by email when practicable.

10. Contact Us

Questions, requests, or complaints about this policy or your data can be sent to info@buidler.solutions. We aim to respond within a reasonable timeframe.
